Information We Do NOT Collect
This section is important. VisaReady is designed so that sensitive raw data never leaves your device in a form that could identify you or be stored.
We do not collect or store:
- Raw video or camera footage from your session
- Photographs or facial images of any kind
- Raw audio recordings (audio is transcribed and then discarded)
- Biometric templates or facial recognition signatures
- Iris scans or fingerprint data
We do not:
- Build biometric profiles for the purpose of identification
- Sell, share, or license your biometric data to third parties
- Use your biometric signals to train AI models
- Retain any recording that could be used to reconstruct what you looked like or sounded like during a session
How We Process Biometric Data
Understanding what happens to your camera feed and voice is central to your informed consent. Here is a precise description of each processing step:
Camera and Facial Composure
Your camera feed is processed entirely within your browser using MediaPipe Face Mesh, a client-side library. Raw video frames are analyzed locally to extract numerical measurements — blink rate, gaze direction, head angles, and composure signals. These numbers are what get sent to our servers. The underlying video frames are never uploaded, transmitted, or stored anywhere outside your device.
Voice and Speech
When you speak a response, your audio is captured and sent to OpenAI's speech-to-text API for transcription. The resulting text is stored in your session record. The raw audio recording is discarded after transcription is complete. OpenAI processes this audio under their data usage policy; they do not use it to train their models (see [OpenAI's privacy policy](https://openai.com/privacy)).
In addition, short audio segments are sent to VisaReady's voice analysis service, which extracts pitch, energy, and rhythm metrics. Only the resulting numerical values are retained; the audio segments are discarded immediately after processing.
Pupilometry
Anonymized eye-region image crops are sent to VisaReady's pupilometry service for pupil dilation analysis. The service returns numerical metrics and immediately discards the image data. No eye images are stored.

Third-Party Services
VisaReady relies on the following third-party services to operate:
Firebase (Google)
We use Firebase Authentication for account management and Cloud Firestore for data storage. Your session data is stored in Google Cloud's nam5 (North America) region. Google's privacy practices are governed by the [Google Privacy Policy](https://policies.google.com/privacy).
OpenAI
We use OpenAI's GPT-4o model to generate interview questions and evaluate the content quality of your responses. We also use OpenAI's speech-to-text service to transcribe your spoken answers. OpenAI processes this data in accordance with their [API usage policies](https://openai.com/privacy). OpenAI does not use API-submitted data to train their models by default.
VisaReady Voice Analysis API
This service is operated by WOW Media Productions (Pvt) Ltd. It receives short audio segments, extracts voice quality metrics, and returns numerical results. Audio is not retained.
VisaReady Pupilometry API
This service is operated by WOW Media Productions (Pvt) Ltd. It receives anonymized eye-region frames, computes pupil dilation estimates, and returns numerical results. Images are not retained.
Data Retention
Account data is retained for as long as your account is active. If you request account deletion, your profile information is removed.
Session data (interview scores, conversation history, biometric metrics) is retained to provide access to your dashboard and historical Readiness Reports. You can request deletion of individual sessions or all session data at any time.
No retention of raw recordings. Because raw audio and video are never stored, there is nothing to retain or delete in that category.

Your Rights
You have the following rights with respect to your personal data:
- Access : You can view all session data and scores in your VisaReady dashboard at any time.
- Correction : If any stored information is inaccurate, you can request a correction.
- Deletion : You can request complete deletion of your account and all associated data.
- Export : You can export your Readiness Reports from your dashboard.
- Withdrawal of consent : You may withdraw your consent to data processing by deleting your account. Deletion stops all further processing and removes stored data.

Data Security
We take reasonable technical measures to protect your data:
- All data in transit is encrypted over HTTPS.
- Firestore security rules enforce user-scoped access — your session data is only accessible to your account and our backend services.
- Server-side API routes use authenticated access patterns; no raw data is exposed to public endpoints.
- Optional AES-GCM encryption at rest is available for session data fields.
No method of transmission or storage is completely secure. We are committed to applying industry-standard protections and to notifying affected users if a breach involving personal data occurs.
Children's Privacy
VisaReady is not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has created an account, please contact us and we will promptly remove the account and associated data.
International Data Transfers
VisaReady is operated from Sri Lanka. Your data may be processed in regions where our service providers operate — including United States-based Google Cloud infrastructure and OpenAI servers. By using VisaReady, you consent to this transfer. We ensure that third-party service providers maintain appropriate data protection standards consistent with this policy.
Changes to This Policy
We may update this Privacy Policy as our services evolve or as legal requirements change. When we make material changes, we will update the effective date at the top of this page. We encourage you to review this policy periodically.
Continued use of VisaReady after changes are posted constitutes your acceptance of the updated policy.

Information We Collect
Account Information
When you create a VisaReady account, we collect:
- Your email address
- Your display name (if provided via Google OAuth or set during signup)
This information is stored in Firebase Authentication, operated by Google.
Interview Session Data
Each mock interview session generates a session record that includes:
- Your visa configuration: destination country, visa type, and embassy
- Your interview questions and transcribed spoken responses
- Your readiness scores across 7 categories
- Timestamps for session start and completion
Biometric Readiness Signals
During your session, VisaReady collects aggregated numerical metrics that describe your behavioral readiness. These are not recordings they are computed measurements derived from your camera and audio in real time. The signals collected include:
- Blink rate and gaze stability
- Pupil dilation estimates
- Head pose angles (pitch, yaw, roll)
- Posture alignment scores
- Voice pitch, energy, and speech rate
- Response timing and silence patterns
These metrics are stored as numbers in your session record and used to generate your Readiness Report.
Usage Data
We may collect standard web analytics data (such as pages visited and session duration) to understand how VisaReady is used and to improve the product. This data does not include personally identifiable information beyond what is described above.
